Study Visits – General information

Eligible activities

Study Visits are short visits of representatives from educational institutions undertaken in order to:

  • supporting and developing of existing inter-institutional contacts;
  • evaluation and summary of completed projects;
  • ensuring sustainability of the results of completed projects;
  • establishing cooperation between institutions;
  • preparing and planning of joint projects, including submitting of an application for projects covered by other European programmes.


Any institution which may participate in any of the actions under the STF, including institutions in Poland and Donor States, can apply for funding for visits.

The eligible applicants from Poland are institutions engaged in formal education, such as:

  • schools (primary, lower-/upper secondary, vocational, technical college);
  • higher education institutions (HEIs) (public and private);
  • continuing education public institutions and practical training public institutions;
  • institutions providing doctoral studies which results in a Ph.D. (such as HEIs, Polish Academy of Science (PAN) units, research institutes, scientific institutes)

The eligible institutions from Donor States are: schools, HEIs, other institutions providing education at all levels, private sector – enterprises and social partners cooperating with education institutions, private and public organisations including not-for-profit and non-governmental institutions, research centres.

For formal reasons, it is the institution which applies, not individuals. Institution may submit more than one application. A single project proposal should comprise participation of one up to ten persons in one programme country.

Project duration

Duration of one visit is from 1 up to 10 working days and additionally maximum 2 days for travel. A visit can be split up by only one weekend.

Eligible costs

The following expenditures will be eligible within Study Visits:

  • cost of travel and insurance € 500  per one participant;
  • subsistence cost of € 250  per day per one participant;
  • additional, individual cost resulting from disability (if applicable);
  • cost of organization of the visit € 50  per one participant.

Application procedure

Application forms will be submitted to the Operator after publication of „Call for Proposals” min. 8 weeks before the planned date of the visit.

Essential enclosures to the application form will be documents confirming intention of partner cooperation as well as reliable and feasible planning of the visit in a form of i.a. invitation,  letter of intent, schedule of the visit.

Financing principles

Payments will be made on the bank account of the beneficiary institution given in the agreement. Payments will not be made on the bank account of individual beneficiary.

Schedule of payments

  • advance payment - up to 80% of the total co-financing amount payable upon signature of the contract,
  • balance payment - up to 20% of the total co-financing amount payable upon acceptance of the Completion Report.


Final financial settlement will be done on the basis of the Completion Report, which should be submitted to the Operator not later than 10 working days from the completion of the visit. The beneficiary will present together with the Completion Report “Confirmation of Stay” issued by the  hosting institution and travel documents confirming travel expenses.
